Corporate Administration & Infrastructure Department
The Corporate Administration & Infrastructure Department (CAID) is responsible for managing global office infrastructure and administration including procurement, office facilities and engineering, business continuity management, as well as administrative policies and implementation framework for the GIC Group globally.
Key Responsibilities
Workplace Services:

Collaborate with the team to support workplace services with facilities, projects, and deliverables, reporting to the SVP, Workplace Management (Americas).

Provide administrative support to the SVP, Workplace Management, and team on various projects and tasks, including global initiatives with sustainability and workplace app support.

Manage daily facilities-related functions to ensure office space is in pristine condition.

Must be proactive in resolving open matters. Provide a high level of customer services to staff. Always willing to go above and beyond to service the stakeholders.

Support internal events by reconfiguring meeting spaces for townhalls, fireside chats, etc.
Facilities & Operations:

Oversee maintenance of critical infrastructure equipment such as AC units, UPS, Novec, BMS, and Pre-Action systems.

Handle pantry equipment maintenance and repairs.

Conduct daily walkthroughs and inspections to identify maintenance needs, safety concerns, and ensure the space is in top shape. Perform corrective measures to resolve any facilities issues.

Manage vendor relationships, monitor service quality, and control costs.

Manage office operations, including day-to-day facilities requests, employee requests, and vendor management.
Procurement and Administration:

Manage RFP process for office vendors and service providers, including contracts and price negotiations.

Support procurement controls, administration, and invoice processing through GIC’s electronic payment system (NOVA). Assist in budget development, spending monitoring, and managing accruals.

Maintain accurate records of maintenance finances, budgets, activities, expenses, and inventory.
Requirements:

A bachelor’s degree in engineering or facilities management a plus

At least 7+ years of work experience in an office environment

Well organized with good time management skills, result-oriented and able to adapt to evolving situation.

Interpersonal and communications skills, with ability to collaborate with team members on projects and corporate initiatives.

Works well in an open environment.

Flexible to work overtime.

Proficient in Excel, PowerPoint, Word, Outlook

Agile and willing to learn new capabilities and applications.

Compensation
Our compensation philosophy reflects several principles. We strive to provide a competitive compensation package to attract and retain talent globally. We pay for performance, and reward sustainable results.
Total pay for this position comprises base pay and bonus. The anticipated base salary range for this role is between $80,000 and $106,000.
