GIC Global Investment Services (GIS)

We manage deal structuring, due diligence and closing. We provide financial operations to GIC’s private equity, infrastructure, real estate assets, equities and fixed income, as well as tax structuring, corporate holding structures, valuations, and financial reporting. We strive to support business groups with digital capabilities and deliver environmental, social and governance focused capabilities, and market expertise.

You will be part of a team that is an integrated investment service team that partners the business in providing services to support both public and private markets investments

 

What will you do as an Executive Assistant?

The Executive Assistant will provide administrative and business management support to the GIS team in the New York Office (NYO). This role goes beyond traditional administrative duties, contributing to enterprise and departmental initiatives, operational excellence, and strategic alignment with GIS’s broader goals. The ideal candidate is proactive, detail-oriented, and capable of managing multiple priorities in a dynamic, fast-paced environment.

 

Key Responsibilities:

  1. Executive and Administrative Support
  • Serve as a professional representative of the NYO GIS team to internal and external stakeholders, ensuring effective communication and stakeholder engagement.
  • Provide comprehensive administrative support to GIS functional leaders in the New York Office, including travel administration and expense claims.
  • Manage GIS visitors to NYO agenda and logistics for meetings, and business travel, including itineraries, accommodation and compliance with GIC policies.
  • Collaborate closely with executive assistants and business partners across global offices to coordinate meetings and engagements with strategic partners.

 

  1. Business Operations and Management Support
  • Support enterprise and departmental projects and initiatives, ensuring alignment with GIS strategic priorities, data, technology, and operating models.
  • Coordination of NYO operational metrics and reporting including budget tracking, cost management, and business administration activities.
  • Contribute to the annual business planning and budgeting process, supporting execution and follow-up on key deliverables.

 

  1. Office and Policy Administration
  • Ensure GIC policies and procedures are effectively cascaded and implemented locally (e.g., travel, expense, and compliance policies).
  • Establish and maintain office procedures and standards to enhance efficiency and operational effectiveness (e.g. department business continuity plans).
  • Manage document control, record-keeping, and filing systems (e.g., EDMS) to ensure accuracy, confidentiality, and accessibility.

 

  1. People, Culture, and Team Engagement
  • Coordinate staff welfare activities, team events, and engagement initiatives, including sourcing and managing vendors.
  • Support recruitment, onboarding, and training of new joiners, serving as a resource for GIC systems (e.g., Concur, FCM, MyAccess, Zoom).
  • Promote a collaborative and inclusive team culture through effective communication and coordination.

 

  1. Project and Change Management
  • Assist in operationalizing enterprise and departmental frameworks to enhance organizational performance.
  • Support change management efforts and ensure smooth implementation of new processes, systems, and initiatives.
  • Prepare presentations, reports, and materials for departmental projects and leadership updates.

 

  1. Enterprise tax management
  • Facilitate the mailing of tax documents, coordinating with NYO reception and personally delivering documents to the post office when necessary.
  • Distribute mail addressed to tax team members, including tax notices and refund checks.
  • Manage the flow of interoffice mail and coordinate the delivery of documents to external partners
  • Prepare and manage the Docusign process for tax documents requiring signatures from senior team members.

 

What qualifications or skills should you possess in this role? 

  • Minimum 5 to 7 years of relevant experience in providing secretarial and administrative support to a team of professionals
  • Ability to be a dynamic team player, collaborative, organized, responsive professional with experience supporting multiple stakeholders.
  • High learning agility with good pro-activeness in problem solving and striving for greater efficiency and effectiveness in task management
  • Highly organized and detail oriented, with the ability to handle multiple simultaneous tasks, prioritize and meet engagement deadlines
  • Ability to prioritize, multitask, and thrive in a hectic, fast paced global work environment.
  • Excellent communication (written and verbal), interpersonal and organizational skills
  • Adept at working independently and efficiently on activities in which instructions, practices, and procedures may be ambiguous.
  • Good general knowledge of IT equipment and usage, Word, PowerPoint, Excel & Outlook
  • Experience in finance industry is an added advantage

Compensation

Our compensation philosophy reflects several principles. We strive to provide a competitive compensation package to attract and retain talent globally. We pay for performance, and reward sustainable results.

 

Total pay for this position comprises base pay and bonus. The anticipated base salary range for this role is between $90,000 and $120,000.  Bonuses, which may form a meaningful proportion of the total pay package, are determined based on company and individual performance.
