What impact can you make in this role?

You will be part of a team that is one of the largest, and most established private equity investors in the world today.

 

What will you do as an Executive Assistant?

  • Provide administrative support with diligence and accuracy. Serve as a gatekeeper and representative of the team managing multiple requests while maintaining good relationships.
  • Under little or no supervision, perform administrative duties such as:
  • Effectively calendar meetings for stakeholders across multiple time zones managing last minute changes.
  • Coordinate meeting logistics including: conference room reservations, access for remote participants, catering, meeting materials.
  • Research, plan, and coordinate extensive domestic and international travel details such as flight, hotel, and ground transportation.
  • Track and process employee expenses and travel claims in accordance with GIC policy.
  • Maintain key contact lists and data entry.
  • Prepare and edit correspondence, communications, presentations and other documents.
  • Establish work procedures and standards to improve efficiency and effectiveness.
  • Oversee coordination of staff welfare activities or other team events. Source service providers and locations; review and negotiate proposals as appropriate.
  • Be a resource to colleagues helping to train on relevant GIC systems such as Concur, FCM, MyAccess, ZOOM.
  • Assist with more complex administrative or operational activities such as:
  • Research, plan, coordinate and book travel and meeting arrangements for GIC senior leadership, global executives, and government officials visiting from other locations.
  • Support team recruitment efforts such as scheduling interviews and facilitating case studies.

 

What qualifications or skills should you possess in this role? 

  • Collaborative, organized, responsive professional with experience supporting multiple stakeholders.
  • Ability to prioritize, multitask, and thrive in a hectic, fast paced global work environment.
  • Excellent interpersonal and communication skills while understanding the need for discretion and confidentiality.
  • Adept at working independently and efficiently on activities in which instructions, practices, and procedures may be ambiguous.
  • Experience and/or strong interest in executing corporate events preferred.
  • Flexibility with time, able to arrive early or stay late as needed.
  • Proficiency in MS Office, Concur, and Travel booking software.

Compensation

Our compensation philosophy reflects several principles. We strive to provide a competitive compensation package to attract and retain talent globally. We pay for performance, and reward sustainable results.
 
Total pay for this position comprises base pay and bonus. The anticipated base salary range for this role is between $83,000 and $120,000.  Bonuses, which may form a meaningful proportion of the total pay package, are determined based on company and individual performance.
