What impact can you make in this role?

The Assistant Vice President (AVP), PMO Operations & Governance, supports the effective running of the Technology Project Management Office by ensuring consistent project governance processes and smooth operational management of PMO services. 
This role plays a critical part in enabling transparency across the technology portfolio by coordinating governance activities, maintaining portfolio records and supporting the delivery of management reporting and decision-making forums. 
Working closely with PMO team members responsible for governance standards, portfolio insights, PMO tools, training and communications, you will ensure that projects across the technology organisation adhere to established governance frameworks while helping to improve operational efficiency within the PMO. 

 

What will you do as an AVP, PMO Operations & Governance? 

1.    Portfolio Operations & Governance Management:

  • Manage day-to-day PMO governance operations across the technology portfolio.
  • Coordinate project lifecycle activities including project onboarding, approvals, stage gate reviews, and project closure processes.
  • Ensure projects comply with PMO governance policies, templates, and reporting standards.
  • Maintain accurate records of project approvals, documentation, and governance artefacts.
  • Provide support for leadership forums such as portfolio review meetings and governance committees. 

 

2.    Portfolio Coordination:

  • Support the maintenance of portfolio records.
  • Coordinate updates from project managers and stakeholders to ensure data accuracy in governance systems.
  • Assist in tracking project milestones, risks, and key deliverables across departments.
  • Provide portfolio coordination support for periodic portfolio reviews and prioritisation discussions

 

3.    PMO Process & Service Delivery:

  • Support continuous improvement of PMO operational processes to enhance efficiency and reduce manual effort.
  • Assist with the implementation of governance workflows within PMO tools.
  • Support the adoption of project management tools and governance processes.
  • Contribute to documentation of PMO standards, operating procedures, and service guidelines.

 

4.    Communications & Knowledge Management:

  • Maintain and update PMO communication channels including the PMO microsite and documentation repository.
  • Develop and distribute communications related to governance updates, templates, and guidance for project teams.
  • Support training and onboarding sessions for project managers and stakeholders on PMO governance processes.
  • Facilitate the planning and execution of portfolio review forums and governance meetings, ensuring alignment with strategic objectives and effective stakeholder engagement.
  • Support the development of communication materials to keep stakeholders informed about PMO initiatives and data insights.

 

What makes you a successful candidate?

  • Experience: 5-8 years of experience in project management, program management, operational or governance roles, preferably within a PMO environment.
  • Skills:
    •    Strong organizational and multitasking abilities.
    •    Attention to detail and data quality management
    •    Excellent verbal and written communication skills.
    •    Experience supporting enterprise project governance frameworks and portfolio reporting processes. 
    •    Analytical mindset with problem-solving capabilities.
    •    Process improvement and operational efficiency mindset
    •    Familiarity with project governance and life cycle management practices
    •    Proficiency in project management software and tools (e.g., Planview, ServiceNow PPM, Clarity) and collaboration tools such as JIRA and Confluence
    •    Proficiency in creating visually appealing presentation materials (e.g., PowerPoint, Canva) is a plus.
