Sustainability Office (SO)
The Sustainability Office serves as GIC’s centre of excellence for sustainable investing, driving the firm’s enterprise-wide focus on sustainability. It partners with investment teams to embed sustainability considerations into the investment process through methodologies, tools, and frameworks; conducts leading research to shape GIC’s views on financial materiality and sustainability-themed investing; defines GIC’s public position and portfolio performance metrics on sustainability; and provides trusted advice to clients on their sustainable investing strategies.
What will you do as an Associate, Administration & Business Support?
This role will provide administrative assistance to the Head of Sustainability Office and the Sustainability Office team members. To succeed in this role, you must have previous experience supporting executives and teams from the financial services industry. You should demonstrate a high degree of integrity, initiative, attention to details and independence in working on highly confidential matters.
Responsibilities
- Administrative Support: Provide general administrative assistance to the Head of Sustainability and the Sustainability Office team, ensuring smooth daily operations and effective coordination across internal departments and external stakeholders.
- Calendar and Meeting Management: Maintain individual and team-wide calendars, schedule and coordinate meetings, manage conflicts and prioritization, and liaise with internal and external parties to ensure efficient meeting logistics.
- Travel and Expense Coordination: Handle travel arrangements for the team, including flight and accommodation bookings, coordination of out-of-town meetings, and timely processing of expense claims and reimbursements
- Email and Communication Management: Manage team email groups and shared mailboxes, monitor incoming correspondence, and ensure timely and professional responses. Support the Head of Sustainability with light email correspondence and follow-ups as needed.
- Project and Budget Coordination: Provide project management support by maintaining and tracking project records, budgets, and timelines. Assist with staff and vendor hiring, onboarding and offboarding, and process payments for memberships, subscriptions, and consulting engagements.
- Operational and Office Administration: Oversee day-to-day office administration, including document and invoice management, coordination of office and stationery supplies, and handling of other routine administrative tasks to ensure smooth operational support.
- Event and Engagement Support: Assist in planning and organizing departmental and social events. Manage multi-channel communications and booking tools related to event coordination. Work closely with internal and external executive assistants and vendors to support logistics, catering, room setup, and other arrangements for key events.
- Ad Hoc Support: Support various business matters and special projects as required, ensuring flexibility and responsiveness to evolving team needs.
What qualifications or skills should you possess in this role?
- Minimum 3 to 5 years of relevant experience in providing secretarial and administrative support to a team of professionals
- Ability to be a dynamic team player and collaborate well across different teams, with sensitivity to the needs of various internal/external stakeholders
- High learning agility with good pro-activeness in problem solving and striving for greater efficiency and effectiveness in task management
