Technology Group
We experiment, design, and lead a 24×7 global business where we support core capabilities in asset management, trading, investment operations, and risk management. We deliver secure, reliable, and integrated solutions, and provide insights on new, and emerging technologies.
This position is a maternity cover role with an expected duration of six to nine months, commencing in January 2026.
What will you do as an Executive Assistant?
General Administration
- Provide general administration support to the divisional leads of the TG Business Partner Solutions Division.
- Maintain and manage calendars, including scheduling and coordinating meetings across different departments and with external counterparties.
- Organize business travel arrangements for the team, including coordinating travel itineraries and submitting travel expense claims.
- Work with TG Operations team to facilitate and manage seat assignments for staff and vendors.
- Undertake various administrative tasks as required, such as managing office and stationery supplies, purchasing HR-related personnel gifts (e.g., baby vouchers), and administering/filing documents or invoices.
Events & Engagement Coordination
- Assist in organizing divisional townhalls and social events.
- Manage multiple-channel correspondences and booking tools in relation to event management.
- Coordinate support and engagement with internal and external teams, and vendors (catering, logistics, rooms, furniture arrangements as needed for key events).
Vendor Administration
- Facilitate the efficient onboarding, offboarding and renewal processes for vendors in alignment with GIC’s Vendor Staff Management process.
- Coordinate onboarding timeslots with vendors and ensure necessary preparations are completed, including working with internal teams to facilitate vendor laptop setup and access card collections.
- Oversee the successful return of laptops and access cards during the offboarding process.
- Verify and maintain accurate vendor records in GIC’s Vendor Staff Management System.

- Ability to exercise good judgment in handling various issues, prioritizing tasks effectively, and meeting tight deadlines.
- Strong interpersonal skills with a positive attitude, enabling efficient communication and collaborative work across a multitude of stakeholders and cross-functional teams.
- Highly self-motivated with a strong sense of ownership and responsibility for tasks and projects.
- Exceptional organizational skills, meticulous attention to detail, and the ability to multitask, prioritize, and work independently with limited supervision.
- At least 5 years’ experience in administrative support to management and teams
- Proficiency in Microsoft Office (Word, Excel, Powerpoint, Sharepoint, Outlook, Teams)
