What impact will you make in this role?

You will be part of a team that supports active management strategies in equity investing. Beyond core executive support, you will take on an expanded remit spanning department-level administration and corporate access support — helping the department operate smoothly while enabling investment teams to make the most of their external engagements.

 

What will you do as an Associate, Executive and Partnerships Assistant?

 

Executive & secretariat support

  • Secretariat and Scheduling: Serve as the primary secretariat and administrative partner to investment professionals and business services management team, manage calendar and schedules — coordinating internal engagements and external meetings, and ensuring the timely upload of supporting documents to relevant applications.
  • Travel Management: Manage end-to-end business travel arrangements, preparing detailed itineraries and booking all aspects of travel, including flights, hotels, ground transport, and dining.
  • Records and Correspondences: Maintain rigorous records and correspondence management — organizing electronic files, handling general correspondence, and ensuring urgent, confidential, and important matters are routed promptly to the appropriate personnel.
  • Declarations, Claims and General Support: Administer staff welfare expenses, claims and reimbursements, compliance declarations and provide broader secretarial support as required (e.g., filing, document preparation for signing, couriers).
  • Visitor Hosting: Receive and host office visitors when needed.

 

Department-level administration

  • Secretariat and Scheduling: Work closely with other executive assistants across EQ to schedule and coordinate for department level meetings, town halls and lunches. Support logistics and vendor coordination for department level needs, where necessary.
  • Onboarding/Offboarding: Assist with onboarding and offboarding administration for department staff, and help maintain shared department resources, distribution lists and seating/space arrangements.

 

Corporate access support

  • Data and CRM management: Maintain accurate records of meetings, events, and trips on DealCloud, work with EAs internally to apply data-capture standards; and liaise with support partners on data enrichment.
  • Reporting and analysis: Prepare regular and bespoke engagement reports (activity, coverage, relationship trends), applying data analytics to support investment teams in reviewing coverage and resource allocation.
  • External engagement coordination: Support the planning of corporate access trips, meetings, and events (agendas, company / broker liaison), coordinating bookings and logistics.
  • Broker and pipeline tracking: Track upcoming non-deal roadshows, conferences, analyst days and earnings calls relevant to investment team coverage.

 

What qualifications or skills should you possess in this role?

  • Minimum 5 to 7 years of relevant experience providing secretarial and administrative support to a team of professionals, involving actively managing multiple individual calendars and frequent business trip planning.
  • Ability to be a dynamic team player and collaborate well across different teams.
  • High learning agility with good pro-activeness in problem solving and striving for greater efficiency and effectiveness in task management.
  • Highly organised and detail-oriented, with the ability to handle multiple simultaneous tasks, prioritise and meet engagement deadlines.
  • Strong communication (written and verbal), interpersonal and organisational skills.
  • Good general knowledge of IT equipment and usage, including Outlook, Concur, Word, PowerPoint, and Excel.
  • Some experience in simple data analytics and reporting preferred.
  • Familiarity with corporate access knowledge and processes is a plus.
  • Experience in or strong knowledge of the asset management or finance industry is an added advantage.
