Corporate Administration & Infrastructure Department

The Corporate Administration & Infrastructure Department (CAID) is responsible for managing the workspace of GIC’s offices in 10 locations, procuring office goods and services and market data, implementing enterprise digital workplace solutions, and managing the crisis/business continuity management programme. We are looking for suitable candidates to join CAID in the areas of crisis/business continuity management (CM/BCM) and workplace security.

 


Key Responsibilities

  • Assist with the BCM programme cycle so that ISO22301 certification can be maintained
  • Ensure the regular maintenance and smooth running of the CM/BCM programme and security systems including managing outsourced vendors and providers.
  • Oversee timely and efficient execution of tasks and support of the day-to-day functions of CM/BCM and operations for workplace security/safety which include overseeing requests from global offices.
  • Review and aligning corporate-wide crisis and business continuity plans arising from the risk/threats from changes in the regulatory, organization structure, people, process and environment including working with all levels in organising, coordinating and administering committee meetings, trainings, exercises, audits and maintain operational readiness.  
  • Play the consultative role in assisting department BCM coordinators globally to prepare their respective risk/threats assessment and CM/BCM plans.
  • Perform the role of secretariat supporting the CM/BCM programme.
  • Assist the team lead in managing crises/incidents ensuring swift resolution, minimal disruptions and identifies root causes of incidents for continual improvement
  • Assist in providing regular reports and metrics to management on CM/BCM and workplace security. (For example, Crisis incidents)
  • As a team, keep abreast of market trends on CM/BCM and workplace security developments, and leverage the knowledge to drive process improvements and efficiencies within the domain (e.g., use of new technologies)
  • Participates in projects and initiatives that improves the overall effectiveness of the team’s function across global offices.

 

Experience and Attributes Requirements

  • Min. Diploma preferably in Business Admin / Engineering / Building Services or equivalent
  • At least 3-5 years of relevant experience in office building management and/ or CM/BCM, preferably within an MNC or financial industry
  • High personal integrity, intellectual curiosity and ability to exercise initiative
  • Self-directed and results oriented, with preference for a fast-paced work environment
  • Competent team player, with emphasis on team results and goals
  • Strong customer-orientation, interpersonal and communications skills, with ability to manage key business stakeholders across different job levels and collaborate with team members on corporate wide projects and initiatives
  • Well-organised with good project and time management skills and adaptability to evolving situations
  • Budget and cost management experience
  • Experience in root cause analysis, industry benchmarking, survey evaluation and data interpretation.
  • Working knowledge with big data presentation would be an advantage (eg. Tableau)
  • Knowledge with MS Suites to include Excel, Outlook, Word, PowerPoint, Projects, Planner
  • Willingness to be on call 24 hours a day for crisis related issues
  • Ability to multi-task and travel
  • A lean six sigma green belt or equivalent background will be an advantage
