GIC Global Investment Services (GIS)

We manage deal structuring, due diligence and closing. We provide financial operations to GIC’s private equity, infrastructure, real estate assets, equities and fixed income, as well as tax structuring, corporate holding structures, valuations, and financial reporting. We strive to support business groups with digital capabilities and deliver environmental, social and governance focused capabilities, and market expertise.

You will be part of a team that is an integrated investment service team that partners the business in providing services to support both public and private markets investments

 

What will you do as an Executive Assistant?

The Executive Assistant will provide administrative and business management support to the GIS team in Singapore (SPO). This role goes beyond traditional administrative duties, contributing to enterprise and departmental initiatives, operational excellence, and strategic alignment with GIS’s broader goals. The ideal candidate is proactive, detail-oriented, and capable of managing multiple priorities in a dynamic, fast-paced environment.

 

  1. Executive and Administrative Support
  • Serve as a professional representative of the SPO GIS team to internal and external stakeholders, ensuring effective communication and stakeholder engagement.
  • Manage GIS leadership agenda, including scheduling of meetings, coordinating logistics, and arranging business travel, including itineraries, accommodation and compliance with GIC policies.
  • Provide comprehensive administrative support to GIS leadership in Singapore, including travel administration and expense management.
  • Collaborate closely with executive assistants and business partners across global offices to coordinate meetings and engagements with strategic partners.
  • Respond promptly to last-minute meeting requests, scheduling changes, and cancellations to ensure seamless coordination.

 

    2. Office and Policy Administration

  • Ensure GIC policies and procedures are effectively cascaded and implemented locally (e.g., travel, expense, and compliance policies).
  • Maintain department office procedures and standards, including department business continuity plans.
  • Manage information access rights, document control, record-keeping, and filing systems to ensure accuracy, confidentiality, and accessibility.
  • Oversee office operations, including supplies management (stationery and pantry supplies), courier management, and digital/ physical documentation (filing, printing, scanning).
  • Support enterprise and departmental projects, such as office seating arrangements and office renovation coordination.
  • Assist in operationalising enterprise and departmental frameworks and supporting change management efforts to ensure smooth implementation of new processes, systems, and initiatives.
  • Prepare presentations, reports, and materials for departmental projects and leadership updates.

 

    3.People, Culture, and Team Engagement

  • Coordinate staff welfare activities, team events, and engagement initiatives, including sourcing and managing vendors.
  • Support onboarding and induction activities for new joiners.
  • Promote a collaborative and inclusive team culture through effective communication and coordination.


What qualifications or skills should you possess in this role? 

  • Minimum 5 to 7 years of relevant experience in providing secretarial and administrative support to a team of professionals.
  • Proven ability to be a dynamic, collaborative, and responsive team player with experience supporting multiple stakeholders.
  • High learning agility with proactiveproblem-solving skills, with a focus on improving  efficiency and effectiveness in task management.
  • Highly organized and detail-oriented, with the ability to handle multiple tasks simultaneously, prioritize and meet deadlines in a fast-paced global environment.
  • Excellent communication (written and verbal), interpersonal and stakeholder-management skills.
  • Adept at working independently and exercise sound judgement in situations where procedures may be ambiguous.
  • Good general knowledge of IT equipment and usage, and proficient in Microsoft Office (Word, PowerPoint, Excel & Outlook).
  • Experience in finance industry is an added advantage.
