What will you do as an Executive Assistant, Human Resources & Organization?
Executive & Secretarial Support to the Director
- Manage the Director's calendar, including scheduling and prioritising meetings, resolving conflicts, and responding promptly to last-minute requests, changes and cancellations.
- Coordinate business travel end-to-end, including itineraries, accommodation and expense claims, ensuring compliance with GIC policies.
- Serve as a professional representative of the Director's Office to internal and external stakeholders, ensuring effective and timely communication.
- Handle sensitive and confidential information with the utmost discretion at all times.
Business & Office Administration for HROD
- Provide general administrative support to HROD, including document control, record-keeping, filing and maintenance of the electronic document management system (EDMS) in line with record retention compliance.
- Upkeep department budgets, process expense claims and vendor invoices and follow up with Finance as needed.
- Respond to audit queries and other ad hoc administrative requests.
- Manage new hire onboarding logistics for the department (seating plans, IT support).
- Coordinate the scheduling of HR agenda items for key senior stakeholder meetings (e.g., Group Executive Committee, Heads of Departments, and the GIC Board HR & Organization Committee).
- Prepare presentations, reports and materials for departmental updates as required.
- Undertake other administrative duties as assigned, including office and stationery supplies, courier management, printing and scanning.
Events & Engagement Coordination
- Organize logistics for department and team meetings, offsites and enterprise-wide events, including venue, catering, room and vendor arrangements.
- Coordinate and support internal events, staff welfare activities and team engagement initiatives, sourcing and managing vendors as needed.
- Liaise with executive assistants and stakeholders across teams to coordinate meetings and engagements smoothly.
What qualifications or skills should you possess in this role?
- Bachelor's degree in business administration or equivalent.
- At least 5 to 8 years' experience providing secretarial and administrative support to senior management and teams, ideally within the financial services industry.
- Highly organized and meticulous, with the ability to multi-task, prioritise and meet tight deadlines under limited supervision.
- Strong ownership, initiative and drive, with the ability to thrive in a fast-moving environment and manage multiple priorities at once.
- Excellent interpersonal and communication skills (written and verbal), with a positive attitude and the ability to collaborate across stakeholders and cross-functional teams.
- Sound judgement and the ability to work independently in situations where procedures may be ambiguous.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, SharePoint and Teams).
